Adding calendar events

From UKRag Guides (wiki)

Adding events to the calendar is pretty simple so here's a quick guide for you to follow:

Contents

Do you have access

The first hurdle is to make sure you are registered on UKRag.net as a member.

Adding events

Once you're all signed up and logged on you can then return to the calendar and look for the button marked "Add event"

Clicking on this will take you to a form where you can fill out the details of your events in detail. Tip: The form will default the start and end information to whichever day you are viewing or "today" so be sure to check the date is correct for both.

All day events

To insert an all day events you simply need to leave the time values for the start and end dates empty.

Start time only

Common sense really, just specify the start time and leave the end time empty

Setting the event Subject

Try to remember that the month view is the default view and will only show the first 10 or so characters of your subject line, so avoid pre-amble and get straight to the point. Note: Please do not use ALL CAPS in subject lines as it's tantamount to shouting and can get an event deleted.

Choose a Category

Categories make it easier for people to filter crowded event listings so you are required to select an applicable category.

Entering a Description

This allows you to enter a description using many of the same tools to colour, size, bolden, etc.. your text but overall you should use this section to provide as much information as possible about your event in a format that is easy to read.

'Tip: Remember to include place and contact information (no personal contacts though please, just office numbers/emails, etc...)

Limiting Viewing Access

This section is purely for limiting who can see your event listing.. You need only use this if your event is solely for a specific usergroup(s) and would only clutter up the view for other irrelevant usergroups.

Event Access

This field offers you the option to store:

  • Public - ie: open to all to see
  • Private/Personal - little reminders for yourself and no-one else
  • Restricted to Usergroup(s) - restricted to usergroups chosen (see below)

Event Access - Allowed Usergroups

This field allows you to specify which usergroups (of which you obviously need to be a member) should be able to view your event listing. Tip: You can select more than one by holding down CTRL while you click with the left mouse button.

Note: the Event Access field will automatically select "Restricted to Usergroup(s)" if you start choosing usergroups from this list.

Recurring events

If you have an event that recurs every X days, weeks, months, years, then please contact the admin team first as this requires special access..
